FREQUENTLY ASKED QUESTIONS

Q: How do I book a party?

  3. Click here to Download  per Participant Waiver Consent Form .           Email completed forms to youplay@flon.org or form will be collected by Game Coach prior to event start time.

  4. Check dates and times and easily book your event online using our Check Dates/Book Now pageor call us at 816.882.5757 and speak to one of our customer service representatives who will check your requested date availability and help answer any other questions you may have. Ensure to provide a good email address!

  5. Once submitted, your booking request will reviewed within 24 hours for approval or denial.

  6. Once booking approved you will have 48 hours to submit payment or your request will be cancelled.

  7. Your event is booked once you make your payment in full; We will send you an email confirmation and receipt within 24 hours.

  8. At the day of the event, we will arrive approximately 30 minutes prior to your scheduled time to set up and warm/cool the game theater and doors will open right on schedule.  We do accept payments the day of an event. 

  9. In the event of equipment damage, Host will be notified immediately of any additional charges that may apply to cover damage. 

Q: Where can I view your official policies?

Use the “Check Availability/Book Now” page and send in your date time and we’ll  respond letting you know if it is available. Just confirm and that’s it!

Our reservations go quickly. In order to hold your booking, you must pay online. Otherwise, your date and time is still open for booking by others.

Q. Do I have to Supervise, Is there an age limit to the participants? 

Every YouLEAD Rolling Video Gaming Trailer party/event includes one of our highly trained Game Coaches who will run the event for you.  While people can start gaming at a very young age, we ask that our attendees be able to take direction from our Game Coach. We ask that at least one Adult/Host be present  to help supervise younger guests.

 

6-9 years of age ~ Game Coach + Adult/Host attendee required to supervise during all booked activities. 

10-17 years of age  ~ Game Coach + Adult/Host attendee required on site during all booked activities.

18  +  years of age  ~ Game Coach + Host available on site for questions.

 

Q: How many people can your trailer hold?

24 maximum inside/outside (dependent upon package selection)

Our mobile trailer theater can hold 16+ kids or 12+ adults comfortably inside our climate controlled trailer and our optional 2 large outside screens can entertain another 1-4 players each, weather permitting (no steady rain and/or above 50 degrees).

 

Our karaoke theater can hold/seat 12 adults comfortably, with more standing room if needed. In addition, our Karaoke theater includes an outdoor gaming station!

Q. What area of the City/State do you cover?


We cover and do not charge extra for parties at locations 30 miles and under from Kansas City, MO 64133. We can provide service outside this area up to 50 miles, but a small travel surcharge will apply. See our Service Area page for more information on this.

Q: How do I know if the trailer can come to my location/home?

Our trailer is 32 feet long and needs to be placed on an area of little or no incline or decline.  We require at least 50′ of fairly level space for parking, plus some room to pull in and out.  Although our drivers are skilled we prefer to pull straight into the allotted space, parallel parking a trailer is just not realistic. If your street is narrow and/or we will not have the room to turn around please notify us beforehand.

You can make prior arrangements (72 hour notice required) to divert us to a nearby park, community pool, clubhouse, church or parking lot! Safety is a top requirement so we will not park anywhere that puts you, you’re guests, our coaches, or equipment at risk.

Q: What time should I book my party for?

The choice is up to you!! You can schedule your party a half-hour or hour prior to our arrival if you want time for food/cake or other activities before we arrive.  If we arrive after your guests do, you will get to see their surprise when our mobile gaming trailer pulls in!

Q. What video games are available to play?


We carry a fairly comprehensive selection of the latest and most popular video games ranging from E to M in ratings. You are welcome to bring in any of your games from home if we do not have a particular game your honoree enjoys. Video games in general and especially with YouLEAD Mobile Gaming, is meant to be a social gaming experience so most of our games are multi-player games. 

Q. How much do events cost?


We believe when it comes to your party experience we have spared no expenses with our mobile gaming trailer and and our high-tech equipment.   We want to be known as the best of the best in the industry by providing the ultimate experiences for your kids, friends, families or co-workers. We offer the largest and highest quality televisions, next-generation gaming systems and the latest games that guests want to play.

Q. Is it required to tip the Game Coach?


The Game Coach is there to make sure that your group is making the most out of our high-tech equipment and he/she is there to guide you through your experience. Tipping for service is a great idea, but is not required.

Q: What time will the gaming trailer arrive to my booked event?

The Game Coach arrives in plenty of time to be setup and start your party at the designated start time, normally between 10-30 minutes ahead of your scheduled booking time. 10 Minute Playing Session will be required for all participants 

Q. Is food, beverages or alcohol allowed inside the trailer?


Due to our high quality theater and our commitment to the cleanest and most prestigious gaming trailer in our industry no consumable food/candy or beverages/alcohol will be allowed in our gaming trailer. 

Q. What about bad/inclement weather?


Our gaming mobile trailer is fully enclosed, insulated, and in a climate controlled environment.  Moderate rain is not an issue and we will still show up for your party/event.  If we’re experiencing temperatures below

40 degrees, high winds/rain, tornadoes,  ice, snow,  lightning or weather that threatens the safety of our game theater or your guests, we hold the right to reschedule your event at a later time. We will do our best to find a rescheduled time that works best for both you and us. All outdoor events are subject to weather conditions (no pouring rain, snow, etc.) and alternative accommodations may be allowed at the discretion of the of Gaming Coach to move indoors to a covered space.

Q. What is your cancellation policy?


A valid credit card or debit card is required to guarantee and pay for your reservation. There will be a $25 cancellation fee for all parties or events canceled after payment is received. There is a $100 cancellation fee for all parties or events when cancelled after payment is received and within 30 days of the scheduled event.

NO REFUND when a party or event is cancelled within 14 days of the scheduled event.

 

YouLEAD will make every effort to postpone and reschedule your event (with no penalty) to another date should cancellation be necessary.
